STEP ONE - READ THIS BEFORE USING YOUR ON-LINE KIT

The Exhibitor Service Kit contains information on installation and dismantling of displays and forms to order services to ship, install, decorate, operate and remove a display. The Kit has been designed to aid and simplify completing necessary forms needed for the show via the RVIA Website!  Please read and follow instructions for ease in completing necessary forms. Show Rules

Read the terms and conditions (show rules) which were sent to you with your exhibit space contract in August or can be found in a PDF file at the bottom of this page. Show rules are enforced. It is the exhibitor’s responsibility to be aware of and comply with show rules. Kentucky Exposition Center Policies - Building Rules and Regulations

Read the Kentucky Exposition Center Policies -  Building Rules and Regulations.  It is the exhibitor's responsibility to be aware of and comply with these policies.

 

Save Money

Order the services required by the deadline specified on the form and on the Check List. The Check List identifies all order forms in this kit and specifies the deadline for returning the form to the vendor. Services ordered at the show or after the specified deadline, will cost more than the same services ordered by the deadline.

 

Basic Services

The following basic services or supplies are provided to manufacturer exhibitors as part of the exhibit fee:

 

RV, Park Model RV, Tow Vehicle and Chassis Manufacturers

  1. Unit staging prior to show.
  2. Unit exterior washing to remove road dirt.
  3. One free badge for each staff member/person working the show up to 225. $10 per badge charge for each badge required over 225. Duplicate badges to replace lost or forgotten badges will cost exhibitor personnel $5.00 each.

Unit Placement

RVIA crews will move the following units into the building, place the following units in exhibit booths and remove them to the parking lot after the show:

 

  • Motorhomes
  • Folding Camping Trailers
  • Travel Trailers
  • Fifth Wheel Travel Trailers
  • Tow Vehicles
  • Park Model RVs ($200/unit surcharge)

RVIA crews will NOT move the following units into the building or remove them after the show:

  • Chassis
  • Slide-In Truck Campers and Caps not mounted on a motorized vehicle.

NOTE: RVIA assumes no responsibility for misplacement of units in exhibit booths. Unit placement will be performed in accordance with the plot map provided by exhibitor. It’s recommended exhibitors have a staff member present to verify placement of units at the time the units are set in the booth. After units are set, upon request, RVIA crew will return one time for adjustments and will make adjustments, provided changing the unit placement in the booth does not require re-setting more than three units and does not require that any other exhibitor’s product or display materials be moved.

Contractors

The Official Contractors are identified in Step Three. We have provided exhibitors with either a copy of contractor’s order forms which can be printed out, completed and faxed to contractor or with a web link which will enable exhibitors to order services via the internet.

 

DEADLINES FOR ORDERING ARE SPECIFIED FOLLOWING THE FOREWORD. ORDER BY THE SPECIFIED DEADLINES TO SAVE MONEY.

The official contractors will maintain service desks in the Exposition Center during the move-in and move-out period to process orders. The Exhibitor Service Desks will be located at the North end of the Arena (Freedom Hall) and in the South Wing.

RVIA has stressed with each service contractor the need for efficient labor and reasonable rates. Unfortunately, these factors are not within RVIA's control nor entirely within the control of the contractors. RVIA has assured itself that those contractors, whom RVIA has an option to select, are well-experienced in show servicing.

 

Exhibitor Move In/Out

RV, Park Model RV, and Chassis Manufacturers: Complete information on unit move in/out is contained in Section Four of this kit and is entitled Move In/Move Out Information.

 

Proof of Insurance Due September 16, 2016

Each manufacturer exhibitor must carry its own all risk insurance on its property and must be covered by extended public liability insurance in the amount of $2,000,000 per occurrence; name RVIA and the Kentucky Fair Board as additional insureds in their policy for the period of the show, covering staging, move-in, show days and move-out (November 17, 2016 through December 5, 2016); and provide proof of insurance to Show Management in RVIA’s Reston, Virginia office on or before September 16, 2016.  Contact Doreen Cashion at dcashion@rvia.org or 571-665-5846 with any questions.

 

Registration

A computer registration system will be used for all dealer and exhibitor registration. Each badge will carry an identification number and bar code for easy information retrieval for exhibitors. A complete registration roster will be sent to all exhibitors a few weeks after the show.

 

Exhibitor Badges

To register for badges on-line, click on EXHIBITOR SHOW BADGE REGISTRATION located on RVIA's web site Home Page to link to the National RV Trade Show Exhibitor Badge Registration. Follow the instructions that will be provided.

 

Each exhibitor and attendee will have a bar code on his/her badge. This bar code can be scanned by a Lead Retrieval Reader System provided by the show's registration contractor, CDS. The bar code contains information taken from the participant's badge registration form. By using it, the exhibitor will be able to send product information quickly to those visiting his/her booth. Information on the on-site Lead Retrieval System is in Step Four, Section 2 (Service Contractor Order Forms) of this Exhibitor Kit.

 

Show Office and Press Room

The Show Office will be set up in the Exposition Center beginning about November 21, 2016. If you have any questions or problems relating to service contractors or the show operation, please contact show management for assistance. The Show Office will be located in the southeastern corner of Freedom Hall in the V Suites.

 

The Press Room will be located at the southwestern corner of Freedom Hall in the A Suites. All exhibitors are encouraged to bring press kits to the show and have them available in the Press Room for pick up by the industry press. This press room is for the promotion of exhibitors’ products and services and is a complimentary service.

 

Overnight RV Parking

Information on how to make reservations for overnight RV parking facilities at the Kentucky Exposition Center is under Section Three entitled Housing/Transportation in this Exhibitor Service Kit. If you require overnight RV parking accommodations at the KEC, call the KEC Parking Admissions office at 502/367-5384.
