Supplier booth materials may start arriving at the Kentucky Exposition Center (KEC) on Monday, November 7, 2016. All exhibit materials should be shipped to arrive no later than Wednesday, November 23, 2016. Please bear in mind when shipping that Thursday, November 24, is a holiday and freight lines do not deliver, nor will the KEC accept freight on November 24, 2016. Freight lines do not receive or make deliveries on the Friday, Saturday or Sunday following Thanksgiving so PLAN YOUR SHIPMENTS ACCORDINGLY. The KEC will accept shipments between the hours of 8:00 a.m. and 4:30 p.m., Monday through Friday (except holidays).
The rates for receiving freight shipments and handling exhibit materials as well as set up and dismantling are contained on the forms in this Service Kit. (See KEC forms in Section 2)
Installation and set up of supplier exhibits will begin at 8:00 a.m. on Friday, November 25, 2016.
To allow adequate time for removal of empty crates, clean up and the laying of aisle carpet, Supplier Exhibitors must have their exhibits set NO LATER THAN 2 p.m., Monday, November 28, 2016. Supplier exhibitors who do not have their booths set by 2 p.m. on November 28, 2016, will not be permitted to set up their displays until after the show closes at 6 p.m. on Tuesday, November 29, and will miss the opening show day. To avoid missing the first show day, please plan to arrive early enough to have your exhibit set on time.Supplier Move-Out
At 1:00 p.m. on Thursday, December 1, 2016, and not before, exhibitors may begin to pack up exhibits. Exhibitors who begin packing up or tearing down exhibits prior to 1:00 p.m., December 1, 2016, will be charged a fine of up to $10,000. Payment of the fine will not entitle exhibitors to breakdown prior to 1:00 p.m., December 1, 2016. Exhibitors who refuse to pay the fine will not be permitted to exhibit in future shows until the fine is paid.
As soon as the aisle carpet is taken up, delivery of empty crates will begin. Bills of Lading can be obtained from the KEC's service areas in the rear of the arena and in the northend of the South Wing Exhibit Hall.
From 1 p.m. - 10 p.m., Thursday, December 1, 2016, exhibitors who can hand carry or use their own two-wheel push cart may, under the supervision of a company representative responsible for exhibit property leaving the building, (see Move-Out Supervisor Designation Form) begin removal of their exhibits from the building. Loading docks and overhead doors in the manufacturer exhibit areas will be closed and locked during this period. The passenger doors at the south end of the arena, the overhead door at the north end of the arena, the doors in South Wing Lobbies A, B, and C, and the overhead door in South Wing Lobby B will be the only means of exit from the building. Two-wheel push carts may only be used through the overhead door at the north end of the arena and the overhead door in South Wing Lobby B. Only hand-carry loads may be taken through the passenger doors at the south end of the arena and the passenger doors in South Wing Lobbies A, B, and C. Cargo units for exhibitors who cannot hand carry out their exhibits may not be brought up to the building until Friday, December 2, 2016. Units brought up to the building before December 2, will be towed and impounded. No motorized vehicles will be allowed into or out of the exhibit halls until 8 a.m., Friday morning, December 2, 2016.
At 10 p.m. on Thursday, December 1, 2016, tear down of displays will cease for the evening. Teardown and move out of all exhibits and units will begin at 8 a.m., Friday, December 2, 2016. All exhibits must be removed from the building by 6 p.m., Friday, December 2, 2016. All recreation vehicles must be removed from the Kentucky Exposition Center parking lots by 7 p.m., Monday, December 5, 2016.
